Insurance settlement
Track when insurance deposits should hit the bank and mark them settled.
Recording an insurance payment marks the invoice paid for the client. The insurer’s deposit often arrives later. Insurance settlement helps you match ClinicGem to the bank statement.
Providers
Set up providers under clinic payment settings. Clinic accounts are seeded with common Canadian insurers; Solo accounts start empty. Each provider is Manual Settlement or Automatic Settlement.
- Automatic stores an expected bank date (24 hours, 2 days, 3 days, or a weekday). If that date falls on a Monday, ClinicGem uses the Friday before.
- Manual has no expected date.
Neither mode settles a payment by itself. A person must confirm the deposit.
Mark settled
Open Reporting → Receivables and use the Insurance Receivables tab.
- Expected Deposits groups pending items by the date you expect the EFT.
- By Provider shows aging.
- Use Settle or Settle All. You can attach proof of payment on a batch.
Invoice payment history also shows settlement status on insurance rows. Non-insurance payments are treated as settled when recorded.
